EliteMindRX ("we," "us," or "our") operates the mental performance training platform at elitemindrx.polsia.app (the "Platform"). This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you use the Platform. Please read it carefully.

By using the Platform, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Information You Provide Directly

• Account registration: name, email address, password, and role (athlete, parent, or coach).
• Profile information: sport, age group, competitive level, and other optional details you choose to add.
• Assessment responses: answers to mental performance questionnaires used to personalize your training plan.
• Payment information: billing name and address. Card details are processed directly by Stripe and are never stored on our servers.
• Communications: emails or messages you send to our support team.
• Newsletter subscriptions: email address and any preferences you set when signing up for our newsletter.

Information Collected Automatically

• Usage data: pages visited, features used, lessons completed, time spent, and click patterns.
• Device & browser data: IP address, browser type and version, operating system, device identifiers, and referring URLs.
• Log data: server logs that record requests to the Platform, including timestamps and error information.
• Cookies and similar technologies: see Section 4 for details.

2. How We Use Your Information

We use the information we collect to:

• Create and manage your account and deliver the Platform's services.
• Personalize your mental performance training plan based on your assessment results.
• Process payments and send transaction confirmations.
• Send service-related communications, such as onboarding emails, progress updates, and account notifications.
• Send marketing and newsletter emails (only if you have opted in; you can unsubscribe at any time).

Service Providers

We share information with trusted third-party vendors who help us operate the Platform, including:

• Beehiiv — newsletter and email marketing. Beehiiv's privacy policy is available at beehiiv.com/privacy.
• Hosting and infrastructure providers — cloud hosting, databases, and content delivery.

All service providers are contractually required to handle your information in accordance with this policy and applicable law.

Parent/Coach Access

If you are an athlete who has granted access to a parent or coach account, that parent or coach can view your progress, assessment results, and training activity within the Platform. You control who has access to your account.

Legal Requirements

We may disclose your information if required to do so by law, court order, or governmental authority, or to protect the rights, property, or safety of EliteMindRX, our users, or the public.

Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information is transferred and becomes subject to a different privacy policy.

4. Cookies & Tracking

We use cookies and similar technologies to operate and improve the Platform. Specifically, we use:

• Authentication cookies: to keep you logged in between sessions.
• Preference cookies: to remember your settings and personalization choices.
• Analytics cookies: to understand how visitors interact with the Platform (e.g., which pages are most visited).

You can control cookies through your browser settings. Disabling certain cookies may affect Platform functionality, including the ability to stay logged in.

5. Data Security

We implement industry-standard security measures to protect your information, including:

• HTTPS encryption for all data in transit.
• Encrypted storage for sensitive credentials and tokens.
• Access controls that limit which employees and systems can access personal data.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. In the event of a data breach that affects your rights or freedoms, we will notify you as required by applicable law.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you services. If you delete your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal, tax, or fraud-prevention purposes.

Aggregated, anonymized data that cannot be linked to you individually may be retained indefinitely for analytical purposes.

Depending on your location, you may have the following rights regarding your personal information:

• Correction: request that we correct inaccurate or incomplete information.
• Deletion: request that we delete your personal information, subject to certain exceptions.

8. Children's Privacy

The Platform is designed for athletes, and we recognize that some users may be minors. We do not knowingly collect personal information from children under 13 without verifiable parental consent. If you are a parent or guardian and believe your child has provided us personal information without your consent, please contact us immediately at privacy@elitemindrx.com and we will delete that information promptly.

Athletes between the ages of 13 and 17 should have a parent or guardian review this Privacy Policy before using the Platform.

9. Third-Party Services

The Platform may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal information.

Third-party services integrated with the Platform include Stripe (payments) and Beehiiv (newsletter). Their data practices are governed by their own privacy policies, linked in Section 3 above.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:

• Update the "Last updated" date at the top of this page.
• Send an email notification to registered users (for significant changes).
• Display a notice on the Platform.

Your continued use of the Platform after any changes constitutes acceptance of the updated policy.
